The CTN Animation Expo takes place at The Burbank Marriott Convention Center Nov 16-18, 2012. Conveniently located in the animation capital of the world, Burbank CA, this venue is within walking distance from the main entrance to the Burbank Airport and convenient to many local animation studios and attractions.
Although within waling distance, you are welcome to enjoy the complimentary 24-hour Burbank airport shuttle service every 10 minutes. Upon request, the hotel shuttle can also take you to Universal Studios Hollywood, Universal City Walk, and Media City Center. Once you experience the warm welcome and incomparable convenience and comfort of the Marriott Burbank Airport Hotel, we know you’ll return to the CTN Animation Expo year after year.

Pipe and Drape, in most exhibitor locations, will consist of a black drape 8’ tall back wall and 3’ tall side walls. Wifi access and 1 electrical outlet are included. We will only have a limited number of extension cords on hand so please plan to bring your own.

(Outside of any final preparations, all exhibitors must be up and running by 11:45am on Friday, Nov 16th.
(No hand trucks allowed in the aisles during “open to the public” hours. No early move-outs will be permitted. Please plan accordingly.)
Load-In: Large exhibitors may have an option to start load-in on Wednesday at 4pm. An appointment through your CTN exhibitor manager is required. General exhibitor load-in will commence on Thursday at 2pm. We ask that you exercise caution as our sub-contractors, including electrical and environmental elements, will also be working on event setup at these times. Final load in will recommence Friday morning at 8am. All exhibitors must have your table/booth complete and ready for exhibitors by 11:45am on Friday as the hall opens to the public at noon.
“Delivery Joe”: Our official CTNX porter crew will be available to provide move in assistance during designated load-in and load-out hours. They will be located curb side at the front of the convention hall. Although they are careful, please be aware that the use of this service is at your own risk.
Hall Access – Talent Marketplace and Opportunity Alley: Exhibitors with a space located in the “Talent Marketplace” Exhibit Hall will use the front doors of the Convention Center and then the central doors of this hall for load-in. There is also a loading dock located at the rear of the venue in the case that you have large or extremely heavy items that you do not want to bring through the front door. Please contact us if you will need access to the loading dock.
Pre-Show Shipping and Handling: If you are staying at the hotel, you can opt to have your inventory shipped to yourself at the below address, and it will be put in shipping for when you arrive. There are no storage fees 3 days prior to or 3 days after the expo based on availability.

SPEAKER / MODERATOR INFORMATION
| Panel and Speaker Schedule | There is (1) panel / presentation room and (1) screening room this year. The Panel Room is located in the City Ballroom which is directly behind the Hotel Lobby and the Screening Room is in the Main Exhibit Hall Area.

| Panel and Speaker Technical Specs | Please fill out the Speaker Technical Requirement Form.
There will be a Technical Director and Audio Video Techs available to assist you at all times. You will be supplied with a laptop hookup to the screen, an Elmo or Downshooter, four (4) hand held microphones or Lav Mics. The stage is set with either (2) 8’ couches in an “L” configuration, (1) 42” round Charlie Rose style table, and chairs and a tall table if you are a single presenter. This stage setup will be used for both solo speakers and panels. Should you have any questions regarding the equipment or panel room set up, please check in at the Speaker/Exhibitor Lounge at the east pool area prior to the event. TECH CHECK will be scheduled for your session. We ask that you bring all your media to the tech check. It will be loaded onto the shared PC in the room and also you will be able to hook up your PC as well if you want to. It is recommended to share the PC during your presentation and access your files in your “show folder” from the desktop. |
| Panelists/Speakers Pre-Panel Check-In | It is crucial that all moderators, speakers and panelists arrive at the Speaker/Exhibitor Lounge a minimum of 30 minutes prior to their scheduled presentation time slot (see venue floor plan for location). If running late, please try to contact your moderator. Check in with the lounge attendant when you arrive. You/your panel will be issued a Speaker Escort who will take you to the presentation room about 10 minutes prior to start-time.Upon entering the panel room there will be house music playing while the previous session exits. The technical staff will help you get situated with mics and any A/V needs. Your moderator will then introduce you/the panel. When the panel has concluded moderators shall direct the panel and the audience to the Shop Talk Lounge. Your VIP Escort will also help direct everyone to the Shop Talk Lounge. |
| General Info | All Speaker and Panelist badges in addition to your guest passes will be picked up at the Speaker/Exhibitor Lounge. This badge serves as your full 3-day event pass and includes access to the Lounge where you can grab a snack/cup of coffee, briefly escape the bustle of the event or conduct a quiet meeting with colleagues.
NOTE: This badge gives you privileged access to all the panel sessions. You do not have to wait in any line for any presentations. But you do need to get their before the line is let in so it’s best to show up early. |
| Speaker Agreements | If you have not signed your speaker agreement you will be asked to sign it when you check in. All speakers much have a signed agreement before they will be allowed to present. |
| Presentation Materials | We ask that all speakers/panelists take full responsibility in complying with the copyrights associated with any and all presentation visuals. Please review your CTN-X Panel/Speaker Contract for further information regarding copyright compliance. |

| Check-in | We ask that all of the Demo Artists be checked in at the Speaker/Exhibitor Lounge at least 30 mins prior to your first time slot (or as soon as you arrive at show site – this is where you’ll get your badge) and that you arrive at your Demo location about 5 minutes prior to each scheduled Demo to allow for set up. If you are a speaker or exhibitor and have already checked in with the event in another capacity, please simply be sure to arrive at the Demo location 5 minutes prior to each of your assigned time slots. |
| Information | This year there will be 5 Demo Stations:
• 2 Traditional Drawing Stations: the artist will draw/animate live so that attendees can watch technique and see the decisions one makes while working. A camera will project live onto an adjacent flat screen . We ask that each artist supply their own drawing instruments and materials as we will only have limited supplies on hand. • 2 Digital Stations: the artist will paint or sculpt digitally using a Cintiq tablet provided by CTN-X. We ask that the artist let us know what type of software/operating system you prefer to work in when signing up. We will do our best to accommodate each request. • 1 Sculpting Station: the artist will sculpt live and a camera will project onto an adjacent flat screen. There will be sculpting stands available. However, we ask that each artist supply their own sculpting instruments and supplies. |

| Scheduling | You will be receiving a schedule on or before Nov 15th detailing the assigned time slots and locations for all Workshops. Most workshop will last between 1-2 hours and once completed will retreat to one of “The Shop Talk Lounges” |
| Check-in | We ask that all of the Workshop instructors be checked in at the Speaker/Exhibitor Lounge at least 30 min prior to your first time slot (or as soon as you arrive at show site – this is where you’ll get your badge) and that you arrive at your Workshop location about 15 minutes prior to each scheduled Workshop to allow for set up. If you are also a speaker or exhibitor and have already checked in with the event in another capacity, please simply be sure to arrive at the Workshop location 15 minutes prior to each of your assigned time slots. |
| Information | Workshops take place in the alley between the convention hall and the panel/speaker room. Each workshop room is equipped with a large format plasma screen, cintiq and PC laptop but we highly recommend and encourage that you bring your own laptop. • There are 2 workshop rooms Producer A + B and Exec Boardroom. |

| GENERAL | All participants are expected to adhere to all City of Burbank, State of California, and Marriott hotel laws. |
| EXHIBIT SPACE | All exhibitors must be up and running by Friday Nov 19th at noon and must have submitted all approved permits. If you are not ready by Friday noon you space will be give away. Subletting is a not allowed without show management approval. |
| DISPLAY | - Exhibitors shall keep all areas clean and will not nail, screw, or otherwise attach any material to the Marriott walls or posts. No damage of any nature may be done to any part of the exhibit hall. We will have methods to help design your area. Just ask one of our staff or Booth Buddy if you need assistance.
- No exhibit may block or interfere with a neighboring exhibit. Be a good neighbor. - With regards to “adult content” we love and respect our First Amendment rights as much as the next artist, but in order to make this a safe and enjoyable event for everyone, please don’t exhibit anything you wouldn’t want your kids to see. - And all exhibitors have cleared any existing copyrights for all displays. - CTN is providing music in the hall and any additional “loud” conflicting sound will NOT BE ALLOWED IN both the Talent Marketplace and / or Opportunity Alley. |
